    From the Principal

    Information for all Parents : Parent and Friend’s Charter Model

    The collaborative partnership between the School and P&F is one that is deeply valued.   I am grateful for the support of the P&F with projects and activities having a positive impact on the school community.

    Currently, the Guardian Angel’s P&F operates within a structure that has been identified as having implications due to changes in insurance and compliance (in particular risk management, volunteers and events), and financial stewardship within Catholic Schools. 

    In recent months, Brisbane Catholic Education (BCE) and Catholic School Parents Qld, have been working with relevant insurance providers to provide support and advice for P&Fs within schools to accommodate these changes.

    The recommendation is that all BCE P&F’s transition to a P&F Advisory Group model (as the formal structure, within BCE schools.  

    This decision to transition to this model is one made by the P&F, with the details below aimed to provide information and guidance around the recommended transition from the current P&F model to a P&F Advisory Group, for consideration:

    How does Catholic School Parents Queensland support the P&F?

    What does the P&F Advisory Group membership look like?

    Membership still consists of a president, vice-president, secretary, diocesan delegates, the Parish Priest, school principal and other representatives of the community and includes parents and carers of children enrolled at the school and friends of the school.

    What does the P&F Advisory Group Charter ‘look like’?

    The P&F Advisory Group charter is attached for your perusal.    Importantly, please note that this is a template and will need to be customised to the school context should the recommendation be accepted by the P&F.

    What are the benefits of the P&F Advisory Group model?

    The endorsed P&F Advisory Group model will significantly reduce the compliance and administration burden on P&F’s. It will also ensure that any activities are covered under BCE’s suite of insurance policies, protecting executive members from potential financial and governance compliance obligations.

    What are the compliance and insurance considerations?

    This model will ensure effective management and reduce the compliance and administration burden on P&F’s, and is critical for insurance purposes as P&F activities undertaken by P&F’s with separate ACNC or other registration are no longer covered under BCE’s suite of insurance policies

    • If the P&F chooses to continue to operate under another model, the P&F will need to arrange insurance at their own expense. 

    If schools are now taking the risk for activities, how does our P&F work with us at events?

    Schools and the P&F advisory committee should plan initiatives together. The principal will be responsible for signing any contracts for goods and services being purchased for events or venues being hired. The principal, working with school staff, will be responsible for undertaking any risk assessments and ensuring that BCE policies and procedures applicable to the events are complied with. 

    The principal will propose to the P & F Advisory Committee how funds raised through P&F initiatives are to be applied and will seek endorsement from the P&F Advisory Group for expenditure of these funds.   

    Are there any disadvantages to the P&F Advisory Group model?

    While essentially many elements remain the same, a significant disadvantage is that P&F Advisory Groups will no longer be able to apply for grants. However, CSPQ are currently looking at ways to move forward in this space.

    The P&F is not currently using this model, what are my first steps to transition?

    At this time, the Principal and Snr BCE Compliance Officer have met with members of the current President/Executive and overviewed the recommendation.

    Next, we will continue to work in partnership with the current P&F Executive and have planned a meeting as part of a general meeting to share information and discuss the model in detail with the community.  Following this, a special general meeting is conducted for a final decision to be determined.  Meeting details are below.

    Does the Principal need to have permission from the P&F advisory group to spend money held in our bank accounts?

    Yes. The Principal will need to seek endorsement from your P&F President/Executive to use funds held.

    • The model ensures the ability of the P&F to contribute to the school and for funds raised to be held and acquitted as per school financial requirements and spent in consultation from your P&F group.
    • The GA Finance Officer, in consultation with the School’s Support Accountant and BCE Financial Services Team, are currently engaged in activities in response to the financial procedures and processes within this model.    

    What are the steps required to get approval to move funds to the school bank account from
    the P&F?

    There are a number of steps to be taken.

    1. Meet with the Executive to plan a special general meeting (Actioned 23/05/2024)
    2. Special general meeting held to agree to disband the P & F in its current form and reform under the school as the P & F Advisory Group. (SGM Scheduled:  17/06/2024)
    3. Close all accounts including bank/ADF accounts and transfer the funds to the school.
    4. NB – if funds not with ADF then the bank may require minutes of meeting recording this. change to close the account.
    5. Cancel the P & F ABN and ACNC registration.
    6. If P&F has been running a tuckshop, uniform shop etc then these also need to be handed to the school. No funds change hands - just complete a stocktake and the school takesover running the business.

    How can I be a part of decision-making process?

    All members of the P&F are invited to participate in the decision-making process.  Several meetings have been scheduled below, with attendance at both meetings an important part of the process.

    To support information sharing, discernment and decision-making for this process, the below meetings have been scheduled:

    11 June 2024:  General Meeting (Agenda item:  P&F Advisory Group)

    • Information sharing, discernment and discussion

    17 June 2024:  Special General Meeting (Decision-making)

    Further details around timing, venue etc of these meetings will be communicated by the P&F Executive via established school communication platforms in the short term.

    From the Assistant Principal Administration

    PREP – YEAR 2 DANCE CONCERT

    The Prep – Year 2 Dance Concert is scheduled for next Friday 14 June beginning at 2:15pm in the MC Shed. Parents and friends are most welcome to come along and join us for this wonderful celebration of the students’ learning with our dancing friends from Superstars.

    Please enter only through the Pine Street gate for access into the Shed and remember to bring along your chairs.

    Parents, I have scheduled the dance concert so that it should finish sometime around 2:45/2:50pm. Please note that all students are to return to their classrooms at the end of the concert with their teachers to be ready to leave school at bell (3:00pm). We cannot accommodate a multitude of parents in the office area/s requesting for early release of their children and so we respectfully request that all students return to their classrooms for the end of day procedures.

    SCHOOL PHOTOS

    School photos were taken on Monday 3 June. As always, the photographers commented on the respectful behaviour of the students and we are very proud of them.

    Parents, you have until Friday 21 June (last day of Term Two) to place your orders through Studio Kirby. Each student should have taken home an ordering form, along with the options available for photos. Please find these attached here for your reference.

    Parents of Year Six students … a special ‘Year Six’ photo was taken on Monday. This will eventually become available to you for purchase if you require one. This ordering process will sit separately from the school photo online ordering. Studio Kirby will provide an ordering link following the proofing process. As soon as the school receives that link, it will be forwarded to the parents of Year Six students. Again, you will have until Friday 21 June to place your orders.

    From the Primary Learning Leader

    We are excited to announce that our Book Fair is now officially open and will remain open in our Library until Wednesday 12th June.

    The children have now had an opportunity to visit the library and view the books on sale. They have completed a wish-list to bring home. If you would like to purchase any books from your child’s wish-list or visit the Book Fair yourself, it will be open before school (8am) and after school (until 4pm).

    Students from Years 2 – 6 can also purchase during lunchtime.

    Scholastic Book Fair Parent Pre-Payment

    The online Book Fair Payment portal allows you to pre-pay for titles from the Book Fair you selected with your child. A receipt number will display so you can complete the Payment Form (No Form? Download here).

    The Payment Form must be presented to the school during the Book Fair for your child to collect the books from the Book Fair.

    Three easy steps to make a pre-payment:

    1. Find your school's Book Fair by selecting your state and then entering the school name or suburb (can't find your school? call: 1800 024 840)
    2. Enter your details and the total value of the books you wish to pre-pay for.
    3. Pre-payment Form to be completed (below), including the receipt number and amount paid. This form MUST be returned to the school during the Book Fair.

    Tuckshop

    Please be advised there will be no tuckshop service in week 10 of this term
    (Wednesday 19th, Thursday 20th, Friday 21st).

    I will be on leave from 15th June until 25th August so there will be a reduced tuckshop menu in weeks 1-7 of term 3.  Full tuckshop service will resume Wednesday 28th August. 

    Thank you to Kendell Trevisan who will be covering the tuckshop while I am away.
